Aware Recovery Care (ARC) offers a holistic approach to treatment and changes the way clients receive care throughout the country. ARC is a year-long, home based, addiction treatment program that works collaboratively with a multidisciplinary team to assist clients in their first year of recovery.

Position Summary:

The Medical Assistant/Office Manager provides direct and indirect patient care, while performing clerical, administrative and clinical  tasks. The Medical Assistant/Office Manager will provide assistance to staff and clients by answering questions, collecting relevant clinical and medical information, and maintaining client electronic health record (EHR) files. The Medical Assistant/Office Manager will provide support to the clinical provider by maintaining organization, preparation, and completing a variety of clinical tasks.

**Daily hours can vary based on your availability 9am-2pm, 10am-3pm, or 11am-4pm**

Responsibilities

Duties and Responsibilities:
  • Manage daily administrative tasks, including daily calendar
  • Manage phone calls as needed
  • Manage client records, using electronic health records and complete appropriate charting
  • Perform data entry tasks to document client records within facility databases and client files
  • Responsible for gathering data, compiling information, and preparing reports including but not limited to:
  • In-Home Withdrawal Management (IHWM) client requests/inquiries
  • IHWM current client information
  • Post-IHWM client information
  • Effectively communicate with doctors and other providers/facilities as required
  • Maintain and manage all IHWM supplies
  • Speranza
  • IHWM CC Start Items (UDS POC Cups, Pregnancy tests, BP Cuffs, Dipsticks, etc.)
  • Lock boxes and coin envelopes
  • Printed copies of relevant materials
  • Protective equipment (masks and gloves)
  • SDK bag items
  • Soberlink
  • Perform client IHWM Pre-Screening and appropriate assessments as designated (CIWA, CIWA-B, COWS)
  • Ensure client Program Levels are reflective of day started and discharged from IHWM
  • Incident Report follow-up in Symplr Compliance for Medication Errors and Adverse Reactions
  • Maintain HIPAA
  • Perform miscellaneous job-related duties as assigned
  • General office up keep including but not limited to:
  • Routine office correspondence
  • Mailing, faxing, scanning, printing and making copies
  • Incoming and outgoing faxes/mail may require upload into a client’s file in the Electronic Health Record (EHR)
  • Command of stamps.com account and understanding of regular vs certified mail
  • Maintain inventory and order supplies
  • Manage contacts for basic office maintenance and calling for support when necessary
  • Answer phones - field calls appropriately and taking messages
  • Mail distribution - ensure correspondences make it to the necessary parties in a timely fashion whether within the agency or for the Corporate office
  • Support Agency Managers and Directors with designated tasks
  • Complete agency-level HR tasks as assigned/asked by Corporate
  • For example, scheduling 90-Day and Annual Reviews between Direct Care Staff members and Agency Leadership
  • Assist in hospitality efforts when hosting guests, staff or office events
  • Perform miscellaneous job-related duties as assigned

Skills & Qualifications

Required Qualifications:
  • High School diploma or GED
  • Graduate from a Medical Assistant program (provide a valid Certificate from an accredited school for Medical Assistants)
  • Minimum 1 year experience as a Medical Assistant
  • Ability to use electronic health records, phone systems and general office computer systems
  • Proficiency in administrative tasks
  • Basic understanding of clinical tasks
  • Professional and proficient written and verbal communication skills
  • Experience in substance use disorder or experience in recovery

Key Competencies:
  • Knowledge of planning and scheduling techniques.
  • Skill in the use of personal computers and related software applications. 
  • Knowledge of clinical operations and procedures. 
  • Records maintenance skills. 
  • Knowledge of medical terminology. 
  • Knowledge of related accreditation and certification requirements.
  • Clerical, word processing, and/or office skills. 
  • Knowledge of clinical facilities and equipment. 
  • Must have strong communication, telephone and interpersonal skills
